ISI seeks an Academic Events Coordinator to organize conferences, seminars, and other academic events for students and faculty.
This is a full-time position with benefits reporting to the National Director of Student Programs. It is based at ISI’s Kirby Campus in Wilmington, Delaware, with remote work considered for strong candidates. A candidate with a willingness to occasionally travel is ideal.
PRINCIPAL RESPONSIBILITIES
- Organize 8+ conferences annually with attendance ranging from roughly 40-100 people each
- Ensure that the look and experience of ISI events align with the Institute’s brand identity
- Adhere to and maintain perimeters of a budget
- Select venues
- Do on-site venue visits ahead of contract agreement to ensure event needs can be met
- Approve menus and account for dietary restrictions of guests
- Send and collect contracts to speakers and accepted students
- Collect and distribute reading assignments while abiding by fair use copyright law
- Manage all event set-up, tear down, and follow-up processes
- Coordinate travel for all participants and/or work with relevant teammates to do so
- Coordinate with all speakers
- Create detailed event schedules for students/faculty and also internal schedules for staff in attendance
- Arrange audio/visual and photographic needs and any other event services
- Order and manage inventory of promotional materials and giveaways used at events (i.e. folders, pens, notebooks, books)
- Ensure all registration tables and key event rooms have ISI tablecloths, backdrops, banner bugs, brochures, etc., and are in prominent/visible locations, and that signage is appropriate to need and directs participants or visitors to event locations
- Conduct final inspections on the day of the event to ensure everything adheres to ISI’s standards
- Solicit feedback and produce after-action reports
QUALIFICATIONS
The ideal candidate will possesses at least 3 years of relevant experience, including direct experience planning events. Experience with academic or student-focused events is preferred.
The candidate should be well-organized and adept at managing multiple overlapping events in varying stages of the planning and execution process. Willingness to occasionally travel and work on nights/weekends is a must.
Finally, the candidate should be enthusiastic about advancing ISI programs that teach students about the principles and virtues needed for ordered liberty in America.
